Virtual Mailbox for Businesses
MailMate gives your business a real Japan address that receives, scans, and digitises your mail — making it accessible from anywhere in the world. This is especially valuable for multinational companies with a Japan subsidiary, remote teams, or businesses managing compliance mail from overseas.
Transitioning from an Existing Japan Address
If your company already has a Japan address (for example, a virtual office or co-working space), you can set up mail forwarding to MailMate while you complete onboarding. There are two main ways to do this:
Option 1: JP Post Mail Forwarding
You can submit a mail forwarding form with JP Post to redirect mail from your current address to MailMate for up to one year (renewable). Please note that some senders mark their mail as non-forwardable, in which case those items will continue to arrive at your original address. We can supply you with pre-paid envelopes so that anyone present at your current location can easily post those items to us.
Option 2: Use MailMate's Address Directly
The simplest approach is to update your registered correspondence address directly to MailMate's Shinjuku address. This means we receive all mail at our facility from the start, with no forwarding delays or gaps.
Mail Pickup Service
For occasional mail items that cannot be forwarded (e.g., certain registered or non-forwardable mail at a Tokyo location), MailMate can arrange a physical pickup. Please contact us for a quote, as pricing depends on location.
Receiving International Mail and Forwarding Abroad
MailMate can receive your Japan mail and forward it internationally via EMS or FedEx. Please note that international forwarding requires a customs declaration and cannot be automated — each shipment must be requested manually through the app. See the Mail Ops section for step-by-step forwarding instructions.
Bill Pay
MailMate can pay bills that arrive via paper mail on your behalf — including invoices, pension notices, and other Japan-issued statements. We pre-authorise your card on file, pay the bill, and then charge your card once payment is complete. A small handling fee applies per bill. Bills are visible in the dedicated Bills section of your dashboard alongside your digital mail.
Documentation is updated from time to time — please confirm with MailMate personnel in all cases. Documentation may be out of date, lack details, or have mistakes.
