Virtual Mailbox for Individual
We provide you with a real Japan address that can receive, scan, and digitize your mail—making it accessible from anywhere in the world. You can rest assured that your mail will be handled securely and stored safely at our office while you are outside Japan.
To have us receive your mail, you will need to either:
- Submit a relocation form to have your mail redirected from your current address to ours. This can be done at the post office or via the e-Tenkyo website.
- Update your mailing address with your vendors so that mail is sent directly to our address.
What MailMate Helps With
Mail Receiving and Scanning
When we receive your mail at our office, we will first upload an image of the envelope to your account. If you would like to view the contents, simply request opening via the dashboard. Once we receive your request, we will scan and upload the contents within 1–2 business days.
Our system also provides a summary of the main points so you can easily understand what the mail is about.
Bill Payment
We can assist with paying various bills, such as utility bills, tax bills, and health insurance bills.
You can submit a payment request via the dashboard, and once we receive your request, we will process the payment accordingly.
Mail Forwarding
If you would like to receive the physical mail stored at our office, you can simply request forwarding via the dashboard, and we will send it to your desired address.
- Domestic shipping: approximately 2–3 days
- International shipping:
- EMS: around 1–2 weeks, depending on the destination
- FedEx: faster delivery, but more expensive
Mail Shredding
We can store your mail for as long as you need. However, each item has a free storage period, and storage fees will apply if this period is exceeded.
If you no longer need the physical item, you can request shredding via the dashboard, and we will securely dispose of it.
The digital version will remain available in your account, and you can download it at any time.

Fair Use of the Mailing Address:
Your Mailing address can be used to receive mail. We receive your mail, upload it to your MailMate account, and you can then decide on the next action. This Mailing address can be used for any legal activity that does not violate our terms and conditions. It cannot be used as a substitute for a residential address.
Specifically, you cannot represent this address as your residential address or represent it as a business address. Furthermore, we will not be able to receive mail that requires an ID check at receipt. You must be a paying customer to receive mail at your Mailing address in addition to having past ID check requirements, which are part of our onboarding process for all customers.
Questions
How long does it take to complete the registration process?
For individuals with a valid My Number Card or Japanese driver’s license, the process can take as little as one business day.
For individuals with government-issued IDs from foreign countries or foreign corporations, the process may take anywhere from one week to one month.
What payment methods are available?
We primarily accept credit cards and debit cards.
Are there any items you cannot receive?
We cannot accept items that fall under prohibited articles as defined in Article 12 of the Postal Act, large packages, refrigerated or frozen deliveries, cash, restricted delivery mail, or any other items we determine to be undeliverable.
Can you receive registered mail?
Yes, our staff can sign for registered and simplified registered mail. However, we are unable to accept registered mail containing cash.
Can you receive packages?
We can accept packages with a total dimension (length + width + height) of 120 cm or less, with no single side exceeding 50 cm, or weighing up to 10 kg. However, as we cannot store items for extended periods, please submit a forwarding request within two days.
I returned to Japan and can handle my mail. How can I cancel the service?
Please contact us at support@mailmate.jp at least one month prior to your desired cancellation date. We will then reply you with the steps for cancellation process.
Documentation is updated from time to time — please confirm with MailMate personnel in all cases. Documentation may be out of date, lack details, or have mistakes.
